CRM Platform for a Digital Agency
A digital agency was losing nearly a third of every workday to hunting for information scattered across inboxes, spreadsheets and chat threads. We built them a CRM platform where every project - tasks, payments, files and client communication - lives in one place.
Offers lived in someone's inbox. Project structure lived in Google Sheets. Access credentials were buried in chat threads. Every simple question - what did the client actually ask for, who has the login, when is this due - meant writing to two or three people and waiting. The team estimated that around 30% of working time went to just finding things. Client requirements slipped through the cracks and didn't always make it into the work, and deadlines burned along with them.
We built a CRM platform around one rule: a project has exactly one home. Open it and everything is there - the full task board, payments, contracts and files, and the entire history of communication. Nothing important lives in a private inbox anymore. To find something, you don't message three colleagues and wait; you open the platform and see it. Clients get their own window into the project too, so they can watch the work move instead of emailing to ask about it.
The change was less about software and more about what stopped happening: no more archaeology before every task, no more requirements remembered differently by three different people. More projects now close before their deadline, delivered work matches what the client actually asked for, and both sides - agency and client - look at the same picture of the same project.
